Generating Flash GP Reports

Flash Reporting


When first using Pinpoint, you will be taken to the Create new report page. Here, you need to complete the required fields to generate your first report. This article will run through how the set up of a report works - this is the same process for each report your generate. There are help points for each section - hover over the 'i' icons to view these.

Set up of cost centres is required before you can start. View our Purchase Coding article to learn more. You will NOT be able to use Pinpoint if you are not currently using Purchase Coding. Best practice for this module would be... the organisation's SuperUser would create the reports, and the relevant users would edit these to make the required adjustments. If a report needs to be deleted, the organisation's SuperUser can do this (or contact the Pi Helpdesk).

Getting Started

  1. Select the Pinpoint module from the left-hand navigation bar
  2. If you have cost centres already defined, click Get started
Once reports have been generated, when you next access Pinpoint, you will be taken straight to the Pinpoint - Flash reporting page.

Generating Reports

Report Name

Report Period

This is your unique name for the report. If this links to any specific location/area of your business you may wish to use this as the report name.
 Select a start date and choose between monthly and weekly reporting periods.
You may wish to align these with stock taking periods.

Tracking Options

Select which cost centre you wish to track. Once selected, you can optionally select to exclude certain nominal codes. For example, you may wish to choose to exclude purchases that relate to cleaning materials as these do not relate specifically to your "cost of goods sold".

 

Finally, choose how to track expenditure. There are three options... 

  1. Invoices - Examine all invoices within Pi, looking for expenditure relating to the selected cost centre. This option includes the ability to factor-in credit notes to further improve accuracy.
  2. Orders - Examine all orders placed via Cherry Pi, looking for expenditure relating to the selected cost centre. The cost of the order is attributed to the cost centre based upon the expected delivery date.
  3. Deliveries - Examine booked-in deliveries for the selected cost centre. This is the best method of tracking expenditure as this relates to your version of the truth (assuming deliveries are booked-in on the same day as they arrive, the calculated expenditure will be accurate and up to date). This requires the use of Pi's Deliveries module.

Display Options

Enter the target Gross Profit percentage. This will report on the current GP% verses the actual, highlighting the difference between the two. Additionally, you can select to view the performance as GP% or Cash margin. Both can be updated and amended once the report has been generated.

What's Next?

Once all sections are complete click Create to continue. Pinpoint will start collecting data based on the report settings and the number of periods it is generating data for.

When this is ready click refresh to see the latest data.

You can edit the report to set target net revenues for each period; record sales and add any cost adjustments. View the Managing Flash GP Reports article to learn more on this.
