From 1 October 2021, the requirements for Pre-Packed for Direct Sale (PPDS) food labelling changed. Any business that produces PPDS food is required to label packaging with the name of the food and a full ingredients list, emphasising any allergenic ingredients.


What is PPDS Food?

Pre-Packed for Direct Sale (PPDS) is food which is packaged at the same place it is offered or sold to consumers, and is in this packaging before it is ordered or selected. It can include food that consumers select themselves (e.g. from a display unit), as well as products kept behind a counter and some food sold at mobile or temporary outlets.

Steps to get you setup with PPDS:


Step 1: Create your recipes and mark your recipes as PPDS

Step 2: Add ingredient information for products that feature in your PPDS recipes

Step 1


Now, to get started with PPDS...Mark your recipes as PPDS:

  1. Select the Piranha module from the left-hand navigation bar
  2. Select Recipes
  3. Select the Advanced search checkbox
  4. Use the available search features to find your recipe(s) that you want to be PPDS
  5. Having located the required recipe, select the green Edit button
  6. Select the Recipe information tab
  7. Click Recipe ingredient labels
  8. Select the This is a Pre-Packed for Direct Sale (PPDS) item checkbox and click save


Add ingredient information for products that feature in your PPDS recipes


Once a recipe has been marked as PPDS, select the Ingredients tab. Warning icons will appear if there is incomplete label data. These icons disappear when ingredient information is complete. (Non-food ingredients are excluded from this warning message.)


Adding ingredient information is a manual job that can be completed in three different ways: 


Option 1: Within a Recipe

Within a recipe's Ingredients tab, click the pencil icons against each product to view and update an ingredient. In doing this, you will be taken to the Edit ingredient page. If this is your chosen method of adding ingredient information, scroll down to section 'Editing Products'.



Option 2: Via Piranha's Ingredients tab

Accessing Piranha's Ingredients tab you will see, by default, products currently being used in recipes. Selecting the Advanced search checkbox will display a series of predefined filters. These can be used alongside the Search field to refine your search. The drop-down filters are populated with data from your Pi configuration. Use the PPDS recipe ingredients drop-down to help further refine your results. Click Edit against each product. In doing this, you will be taken to the Edit ingredient page.

Option 3: In Bulk

  1. Select the Inventory module from the left-hand navigation bar
  2. Select Products
  3. Select the Tools drop-down
  4. Click Import/Export PPDS data
  5. In the Export tab, you can:
    • Use the Supplier drop-down to choose the required supplier
    • Use the Ingredients data drop-down and PPDS recipes checkbox to find the products that need to be updated with ingredient data
  6. Select the checkboxes to the left of the listed products that require updating (you can select all of them using the top-level checkbox in the product list header)
  7. When ready, click Export
  8. Once exported, complete the information in the Excel spreadsheet - formatting all allergens in bold (we recommend using the product packaging for more accuracy. Your procurement manager may be able to help you with this exercise by sending this spreadsheet to the supplier.)
  9. Save your changes
  10. Going back to the PPDS Import/Export page in Pi, select the Import tab
  11. Choose your supplier from the Select a supplier drop-down
  12. Click Select file to upload your recently saved Excel document
  13. Where changes have been made you will see updated to the right-hand side
  14. Save to complete

Step 2


Editing Products


To edit, click the pencil icon next to the ingredient:




Click the Ingredient labelling (PPDS) tab. You will see selections: 'Use the supplier's product description' or 'Configure ingredient name manually'. The first one is chosen by default and displays the item as listed on the supplier catalogue. Click 'Configure ingredient name manually', this signals to Pi that it's a PPDS ingredient and information has been completed. 


Below is a before and after example of how you should update your product. 


E.g. for Coronet tomato ketchup, in the first box, brand 'Coronet' needs to be removed, leaving just the ingredient name 'tomato ketchup'. 


In the second box, add the constituent ingredient list in the box. Be sure to format all allergens in bold. We recommend using the product packaging for more accuracy. 


If Bidfood or Brakes are one of your suppliers, you can use the button 'supplier ingredient data available' which will populate the sub-ingredient information for their products.


You'll see a Label preview on the right-hand side. 


Save your changes when ready.

Step 3


Sort ingredients by mass/volume:


Next, sort your ingredients by mass/volume. This ensures that your ingredients are in the correct order when you later auto-generate your PPDS label. To do this, edit a recipe (Piranha > Recipe > Find your relevant PPDS recipe). Sort the ingredients by mass/volume using the blue dropdown, as per the screenshot below.

Auto-generate your PPDS Label


Once all ingredients within a recipe have been updated with ingredient data, and sorted by mass/volume as per above steps, you are ready to auto-generate the recipe's label data!

  1. Within the recipe, select the Recipe information tab
  2. Click Recipe ingredient labels
  3. Select Auto-generate then Proceed


For any products not confirmed as PPDS, these will be highlighted when you click auto-generate. (Remember, non-food products are automatically excluded).


Like magic, the saved ingredient data will appear with formatting included. You can now freely edit the text to clean up any formatting and to ensure that all allergens are bolded.


Step 5


Downloading Label Data Exports

  1. Piranha > Recipes > Select 'advanced search' tick box > use the PPDS drop-down and select PPDS recipes only
  2. You can use the other dropdowns if needed to further filter down your list of recipes
  3. Click the Downloads drop-down and select Label data export

  1. Select a site (if applicable) to include retail pricing
  2. Choose the label format (formats will be shown in the provided example box)
  3. Click Download to proceed
