Invoice and Credit Management


Invoices & Credits is where you can find and view all invoices/credits sent directly from suppliers.

Getting Started

  1. Select the Finance module from the left-hand navigation bar
  2. Select Invoices & Credits

Key Features

See the key areas summarised below. Your invoices/credits will show in date order with the most recent at the top:

Summary
As a default view, you will see the Search text field and Date view. You can search by invoice/credit number, or Cherry Pi order number. If you need to change your date range, click the calendar icon. By clicking moreyou will be provided with further search options (based on your set up) to help filter your view.


The Tools drop-down provides a number of different features based on your organisation's finance set up, the access you have to different areas within Pi and the Finance module.


The icons shown on the blue banner identify (from left to right):

  • Notes (speech bubble) - how many notes have been added to an invoice/credit
  • Reconciliation (tick) - the reconciled status of an invoice
  • Authorisation (pound sign) - whether payment has been authorised
  • P2P Status (running man) - workflow status of AIM invoices/credits
  • Attachments (paper clip) - any attached files within
Reconciling and Authorising are internal processes - payments will still be made regardless of status.


You can also:

  • View (magnifying glass) - to open an invoice/credit
  • Download all - download reports in three different formats (PDF, Excel, CSV)
  • Actions - drop-down with options to view and manage

Invoices are identified with a blue page icon.



Credits are identified with a green page icon and totals will be in bold.

A Look Inside

When viewing an invoice/credit, you will see line by line invoice data and a VAT summary. You can use the Share tab to email invoices/credits, or use the Actions drop-down to download in three different formats:

 

The above example is of a standard invoice. If using the advanced side (P2P/AIM) you will notice a different look. Contact your Account Manager if you are interested in learning more on how P2P could help. N.B. this is based on the Pi modules the organisation are using and supplier set up.
