Stock Management


Stock counts can be recorded directly on a tablet or smartphone. Alternatively, you can print store sheets too. You can also stock count user-managed products by creating user-managed suppliers in Pi's Inventory module.

Getting Started

  1. Select the Pitstop module from the left-hand navigation bar
  2. Click Select on the site you would like to complete a stock check against
  3. Select New stock check (located top-right of the screen)
  4. Should there be any unallocated products, a message will pop up requesting if these are to be allocated before continuing (recommended)
  5. Select the stock check date and time
  6. Add a stock check name (optional)
  7. Click Create
You can download store sheets to complete a stock check (if not using a smartphone or tablet) by selecting the printer icons located to the right of each store. To download all store sheets, select the icon against All Stores at the very bottom. Store sheets are downloaded in PDF formats.

Completing Stock Checks

  1. Click Open Store
  2. Enter stock counts for each product
  3. As you go, each line will be saved (shown with a green tick)
If managing your own products, ensure these are correct and up-to-date (eg. pricing, pack size, etc) so these reflect correctly when counting. If there is no current stock for a product enter 0 so Pitstop knows the line has been counted.


Further features are summarised below...

Element
Summary
Search for products within the store using the Find product text field.
Easily view any uncounted products within the store by selecting the Uncounted only check box.
Counted lines with a total value greater than £100 (default) will be highlighted red. This can be amended to suit your organisation.
Products & stores will take you to the Product Allocation page. Use this if you come across products physically in a store that are not currently showing on the store room list.
Click Remove against a product if it's no longer stock managed/physically in that particular store room.

Finalising Stock Checks

Once all products are counted and stores complete...

  1. Click the Close stock check drop-down
  2. Select Finalise
Selecting Abandon will delete the stock check. A stock check will remain as in progress until it has been finalised or abandoned. Whilst in progress you cannot start a new stock check.


When finalising, should there be any gaps from uncounted lines, these will be highlighted...

Warnings
Warnings will highlight problems within a store:
Uncounted Product Lines
Uncounted Product Lines will show every product within the stock check that has n't been counted.
Here, you can choose to:
  • Count next time - bring the closing quantity from the previous stock check over
  • Do not stock manage this product - remove the product from the allocated store(s) and mark it as not stock managed


When ready...

  1. Click Close stock check
  2. Click Return to site home page
Analyse stock check will take you to the Stock Check Analysis report. Download stock check will download a full report in an Excel format. View the Stock Reports article to learn more on available reports.

Re-open Stock Checks

If you need to re-open a closed stock check...

  1. Within the selected site use the Tools drop-down and select Review stock checks
  2. Click Re-open on the most recently closed stock check
  3. Click Yes to proceed and complete this action
Only the most recently closed stock check can be re-opened. Contact the Pi Helpdesk if this feature is not available to you.
